Recorded Presentation Guidelines

Creating an accessible recorded presentation is essential to ensure that your content can be enjoyed and understood by a wide audience, including those with disabilities. Please see below for guidelines, tips, and deadlines to help you prepare an accessible video presentation.

Pac Rim Recorded Presentations

Between 15 and 25 minutes in duration, the recorded presentation type is a video format that can utilize each style: Research & Practice, Fireside Chat, Panel, or Training. The video will be available (on-demand/asynchronously) for attendees via the conference app (Whova). The program you use to create the video is decided on by the presenter(s); however, minimum accessibility standards are required such as captions, high color contrast, high quality audio, audio description of graphics, etc.

Deadline

Upload your video and transcript by January 31, 2025.

Upload Location

Each presentation will have a dedicated folder to upload your video file and transcript. The lead presenter will be added to a Google Drive folder where they will be able to upload their video and transcript files.

What to Upload

  • One video file of the full presentation (15 – 25 minutes) 
  • One edited/final transcript file to be used for captions (presenter responsibility)

Accepted File Types

  • Video: mp4, .mov, .avi, .mpg, or .wmv
  • Transcript: Accepted formats include .doc or .txt

Content Considerations

Summarize Content: Provide summaries or key points at the beginning and end of the video.

Use Headings: Organize your content with clear headings and subheadings.

Use Clear Language: Avoid jargon and complex language. Use plain language that is easy to understand.

Written transcript (required): Provide a written transcript alongside the video. This will be used for captioning purposes.

Visual Considerations

High Contrast: Use high contrast between text and background colors for readability.

Text Size: Ensure that text is large enough to read, and use a legible font.

Text Description: Include verbal descriptions of any visual content (e.g., images, graphs) during the presentation.

Appropriate Framing: Ensure that your camera is centered and in focus if utilizing video.

Audio Considerations

Clear Audio: Ensure good audio quality and avoid background noise.

Appropriate Pacing: Ensure that the spoken audio is not too fast for participants.
